How to format a phone number list for WhatsApp the right way

The most common reason a WhatsApp blast “doesn’t work” is not the tool. It is the number format. WhatsApp routes messages by international number, so a local 10-digit number with no country code will silently fail. Here is how the format works and how to clean a list fast.

Why a bare local number fails

People write their number the local way, like (415) 555-0134 in the US. That format leaves out the country code, which WhatsApp needs. The international standard is called E.164, and it looks like this:

• Local (US): (415) 555-0134
• International (E.164): +1 415 555 0134

So 4155550134 becomes 14155550134. Every country has its own code: 1 for the US and Canada, 44 for the UK, 61 for Australia, and so on.

The rules for a clean list

A number is ready for WhatsApp when it is:

1. Digits only. No +, spaces, dashes, or parentheses.
2. In international format. It includes the country code (1 for the US).
3. Unique. Duplicates waste your quota and annoy people who get the same message twice.

So this messy input:

(415) 555-0134
+1 212-555-0148
1 (646) 555 0199
4155550134

should become:

14155550134
12125550148
16465550199

(The duplicate 4155550134 is dropped because it is the same number as the first line.)

Do it by hand (the slow way)

In a spreadsheet you can:

1. Remove spaces and symbols with find-and-replace.
2. Add the country code to any number that is missing one.
3. Remove duplicates.

It works, but it is fiddly and easy to get wrong, especially with mixed formats in the same column.

Do it automatically

Both work. Paste one number per line, or a comma separated list copied from a spreadsheet. If a line has a single number followed by text, that text becomes the contact’s name. If a line has several numbers, they are all treated as numbers.
